Training Coordinator
SUMMARY
Mortenson is currently seeking a Training Coordinator who is responsible for providing high quality, professional, and timely support relating to the administration and coordination of training as well as a back-up to manage training courses in the Learning Management System. In this key role, you'll be the first point of contact and an essential guide for new team members, ensuring they have a smooth and welcoming experience from the moment they accept their offer. This position requires someone with excellent communication skills, a proactive attitude, and the ability to manage multiple tasks simultaneously. You will be instrumental in coordinating our new hire program and supporting DCSG+ college recruiting and administrative initiatives.
RESPONSIBILITIES
Onboarding Coordination:
Manage the DCSG+ Onboarding Tracking Sheet, overseeing the entire onboarding process from initial offer acceptance through the first few months.
Serve as the main point of contact for new team members before their start date, answering questions and providing guidance.
Coordinate all logistics for new hires, including scheduling travel (airfare, hotel, ground transportation) for onboarding in Minneapolis.
Develop and manage the onboarding itinerary for new hires, including scheduling meet-and-greets, company overviews, and team lunches.
Prepare and ensure new hires have a "login-ready" computer on their first day, including ordering and setting up laptops and other essential equipment like monitors and office supplies.
Order and manage company swag and welcome gifts for new team members.
Ensure new hires are added to all appropriate email distribution lists and have access to the necessary company software and tools.
Schedule 30/60/90-day check-ins with managers for new hires based at HQ.
Assist with the continuing development and improvement of the onboarding process and seeking opportunities to improve the process.
Attend weekly meetings with the recruiting team.
College Recruiting & Intern Program Support:
Attend weekly and monthly college recruiting meetings.
Assist in coordinating college recruiting deadlines and interview schedules.
Work with Project Admins to coordinate start dates and logistics for interns.
Help organize intern mixers and other social events to support the summer intern program.
Continuously seek opportunities to improve and develop the DCSG+ college recruiting program.
Administrative & Office Support:
Assist with various administrative tasks, including sorting mail and managing office supplies.
Coordinate special projects and events, such as the annual company meeting, DEI lunches, and other team gatherings
Manage and update company rosters and email distribution lists.
Negotiate hotel rates and coordinate other event details as needed.

Training Coordination:
Follow Mortenson’s Training Coordinator’s role and responsibilities as outlined by Learning & Development
Act as the primary learning contact for your group
Respond to learning questions or requests and escalate as needed
Manage learning activities to completion within your group (85% or higher)
Share learning updates with group leaders, including Assigned Learning Report data, new activities, and portal enhancements
Communicate Assigned Learning Report data and analysis with your group
Manage annual learning activities to 100% completion
Run the Assigned Learning Report regularly to ensure timely completion and resolve issues
Partner with group leaders to communicate with outstanding or past due team members
Identify and manage past due team members and ILT courses needing scheduling
Run ad-hoc reports and escalate unique reporting requests
Ensure all ILT courses have instructors and manage instructor requests
Train instructors on My Career Portal tasks and conduct bi-annual instructor audits
Schedule and manage ILT classes, including logistics and participant materials
Act as on-site coordinator for ILT classes and provide technical support for virtual sessions
Enter completions and upload documents in My Career Portal
Work with project team to manage project-based training and ensure attendance tracking
Follow Mortenson’s Onboarding program and develop Solar’s onboarding processes
Partner with managers to ensure understanding of onboarding roles and responsibilities
Ensure each non-craft team member has a 90-day onboarding plan
Provide support to team members on onboarding matters
Assist managers in setting up new team members (workspace, project alignment, technology needs)
QUALIFICATIONS
Minimum five years of office experience
Proficiency with Microsoft Word, Excel, and PowerPoint
Experience analyzing and troubleshooting data
Experience coordinating meetings or training events
Familiarity with database software (i.e. Access), graphics software, and/or e-learning authoring tools
A self-motivated, proactive problem-solver with a strong technical aptitude and ability to quickly learn new software and systems
Ability to manage multiple tasks and competing deadlines in a fast-paced environment.
A “people person” and team player with a passion for helping others
Excellent written and verbal communication skills

The hourly pay range for this role is $30.00 - $33.46. (Actual range is higher for the following office locations: Denver, CO and Chicago, IL – 5%, Seattle, WA, and Portland, OR – 10%, Washington, D.C. – 12.5%).
Base pay is positioned within the range based on several factors including an individual’s knowledge, skills, and experience, with consideration given to internal equity.
