This role is responsible for planning and managing all logistics for major company-wide events. This includes Mortenson’s large internal gatherings such as annual meetings, summits, conferences, and major celebrations. The position’s primary purpose is to ensure these events are aligned with Mortenson’s goals, are executed professionally and consistently, and deliver a high-quality experience for attendees while optimizing cost and efficiency.
RESPONSIBILITIES:
Event Strategy. Define objectives, audience, and outcomes. Advise on format, theme, and budget.
Event Management. Develop detailed plans of timing and action for each event from start through completion and ensure that each project is running smoothly during all phases.
Venue & Vendor Management. Source venues, negotiate contracts, manage hotel blocks and transportation. Ensure familiarity with hotel banquet event orders. Vet, contract, and manage vendor partners for event design and production, if needed.
Logistics Coordination. Oversee all operational details – build production schedule and run of show, room setup, A/V, catering, signage, and on-site management.
Attendee Communication. Create invitations, manage registration, and ensure consistent branding in coordination with the brand team.
Post-Event Evaluation. Collected feedback, analyze success metrics, and recommend improvements.
Trend Awareness & Problem Solving. Stay current on event planning, design, and production trends. Proactively identify and solve operational challenges.
Collaboration. Partner with internal teams and share best practices across the company.
Effectively work and build relationships with those of diverse backgrounds and organizational levels

QUALIFICATIONS:
Bachelor’s degree in Hospitality Management, Marketing, Business, Communications, or related field
Minimum five years of experience
Previous experience related to livestreaming and audio-visual production
Current driver’s license
Event Planning Expertise. Demonstrated experience managing large, complex events with strong attention to detail and ability to follow structured plans.
Vendor Management & Negotiation. Skilled in sourcing vendors, evaluating proposals, and negotiating favorable contracts.
Communication & Interpersonal Skills. Clear, professional communication with stakeholders at all levels; strong relationship-building and customer-service mindset.
Multitasking & Organization. Ability to manage multiple events and deadlines, stay calm under pressure, and solve problems quickly.
Technical Proficiency. Comfortable with Microsoft Office; experience with event management tools and virtual platforms; basic Adobe skills a plus.
Project Management & Analysis. Ability to track budgets, timelines, and analyze event metrics for continuous improvement.
Relationship-Building & Cultural Sensitivity. Collaborative approach with diverse teams; influence without authority.
Professionalism & Composure. Resourceful and calm under pressure with a “show must go on” attitude.
Active listening skills and effective communication including an openness to diverse input and feedback
Ability to travel up to ~30%
Adaptable to non-standard hours and demanding event schedules

The base pay range for this role is $77,000 - $115,600. (Actual range is higher for the following office locations: Denver, CO and Chicago, IL – 5%, Seattle, WA, and Portland, OR – 10%, Washington, D.C. – 12.5%).
Base pay is positioned within the range based on several factors including an individual’s knowledge, skills, and experience, with consideration given to internal equity.
