SUMMARY  

Mortenson is currently seeking an Administrative Assistant who will support a wide range of administrative and executive-level tasks in a fast-paced, ever-changing environment. Success in this role requires flexibility, creativity, efficiency, and a high level of integrity and confidentiality. Strong written and verbal communication skills are essential, as this role regularly interacts with team members and leaders at all levels of the organization. Exceptional customer service skills are critical to ensuring a positive and professional experience for all visitors and internal partners at Mortenson facilities.

RESPONSIBILITIES

· Perform regular administrative tasks and overall office organization, greet visitors and customers with a positive demeanor, coordinate and set up meetings, handle calendars, and schedule travel

· Coordinate and set up meetings, manage calendars, schedule travel, and support meeting logistics such as room reservations, catering, and conference center coordination

· Support onboarding coordination by partnering with managers to ensure a seamless new hire experience, including workspace setup, applicable technology, and a 90-day onboarding calendar; support a successful transition to project sites

· Integrate operating group–specific onboarding experiences that supplement the company onboarding program and address group-specific needs, challenges, and engagement opportunities

· Set up, organize, and manage filing systems; prepare documents; maintain records; and proofread communications and materials with strong attention to detail

· Prepare billing and invoices as needed and support timekeeping-related activities

· Coordinate across multiple internal support groups, including Risk Management, Preconstruction, Human Resources, Legal, Environmental Health & Safety, and ITS

· Procure miscellaneous goods using Mortenson’s internal procurement systems

· Oversee shipping and receiving for UPS and other deliveries

· Develop an understanding of the operating group and company resources to effectively support Operating Group Leadership and team members with tasks such as expense reports, travel coordination, technology needs, and general administrative support

· Build effective working relationships across all levels of the organization and navigate diverse personalities and backgrounds

· Perform all other duties as assigned, recognizing that responsibilities may evolve due to the dynamic and cyclical nature of the construction business


QUALIFICATIONS

· Associate or bachelor's degree preferred

· Minimum three years administrative support experience required

· Detail orientation and the capability to proofread effectively

· Demonstrate flexibility as well as excellent organization and multi-tasking skills

· Display proficient skills in Microsoft Word, Excel, Outlook, and Power Point

· Exhibit effective communication and active listening skills

· Positive professional attitude and strong customer service skills

· Construction-related business experience preferred

· Experience with billing, invoicing, and timekeeping preferred

The base pay range for this role is $ 59,300 MIN - $80,000 MAX. (Actual range is higher for the following office locations: Denver, CO and Chicago, IL – 5%, Seattle, WA, and Portland, OR – 10%, Washington, D.C. – 12.5%). 

 

Base pay is positioned within the range based on several factors including an individual’s knowledge, skills, and experience, with consideration given to internal equity.
